Assistant Events Manager The Assistant Events Manager is Full Time role and lead the teams for events on property.
This individual is responsible for relaying all event details to the staff working the event and being able to direct the team as needed throughout the run of the event.
Responsibilities include:
Supervise the staffing of banquet staff for events.
Schedule and supervise in-house banquet staff and contracted personnel.
Serve as the primary point of contact for banquet staff during events, ensuring clear communication of event timelines, flow, and requirements.
Ensure smooth execution of all banquet-related activities during events.
Supervise and direct banquet staff during event, including bartenders and servers from staffing agencies Ensure that HBY standards are met for service and food presentation as well as bar and beverage presentation.
Manage event inventories.
Maintain accurate records of event supplies and report on inventory levels weekly or more frequently as needed.
Act as the Event Manager on duty for assigned events.
Maintain comprehensive knowledge of event details.
Be knowledgeable and expert of event schedules, client preferences, and Run-of-Show (ROS) details.
Keep team calendars updated.
Ensure that event schedules are current and accessible to all team members.
Develop and update event timelines.
Oversee vendor load-in/load-out, as assigned.
Establish and maintain organizational systems in Kitchen and event storage spaces.
Monitor performance of events staff and actively participate in interviewing and recruiting of new staff members.
Report to Events Manager.
Provide regular updates and collaborate with the Events Manager to ensure successful event outcomes.
Attend staff and BEO meetings, report on upcoming events needs so that all managers are informed of activity and client needs.
Other duties as assigned.
Requirements:
This position necessitates a flexible schedule, including availability for weekends, holidays, late nights, and other irregular hours as required.
Experience in the hospitality or events industry:
3
years' experience in a related role.
Experience with banquets and catering is a huge plus.
Proficiency in Outlook, OneDrive, and Excel or similar platforms.
Familiarity with Tripleseat is a plus.
Excellent communication skills:
Ability to effectively communicate with team members, clients, vendors, and other stakeholders.
Strong organizational skills:
Capacity to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
Attention to detail:
Thoroughness in ensuring all event details are accurately recorded and executed according to plan.
Problem-solving abilities:
Aptitude for quickly identifying and resolving issues that may arise during events.
Leadership qualities:
Capability to lead and motivate a team to deliver exceptional service and achieve event objectives.
Customer service mindset:
Dedication to providing outstanding service to clients and guests, ensuring their satisfaction throughout the event experience.
Physical stamina:
Ability to stand, walk, and lift objects as necessary during event setup, operation, and breakdown.
Knowledge of event management software/tools is a plus Adaptability:
