Warming Center Program Assistant is responsible for assisting Coordinator with the daily operations of the warming center, ensuring the safety and wellbeing of guests, and maintaining a clean and organized center.
The supervisor's duties may include assisting in scheduling staff, enforcing rules and regulations, handling emergencies, and managing inventory.
Flexible scheduling is necessary, as this position requires working evenings, weekends, overnights, and some holidays.
The Program Assistant must have effective communication skills, leadership skills, and problem-solving skills.
Full time, 35 hours:
Tuesday through Saturday, 9am - 5pm during the Warming Center off-season and flexible scheduling during the Warming Center's code blue season.
(We are looking for someone who can work 4PM to Midnight and/or overnights from November through to March, then go to off season schedule.
Essential Duties and
Responsibilities:
1.
Ensure continual staffing when Warming Center is in operation by coordinating schedules of staff when necessary and providing coverage to ensure no gaps in shifts.
2.
Ensure that Security staff are upholding their duties by providing a safe environment.
3.
Ensure food services are rendered to Warming Center.
4.
Work overnight shifts regularly to maintain continual supervision throughout the season.
5.
Organize and manage inventory supplies and program materials and report to Warming Center Coordinator / Regional Supervisor.
6.
Ensure staff are adhering to all Agency policies and procedures.
7.
Ensure the Warming Center facility has all necessary supplies including first aid kits, Narcan kits, food service supplies, cleaning products, reporting forms, etc.
8.
Maintain clear and consistent documentation in confidential database in accordance with agency policy and practice.
9.
Ensure staff documentation is clear and concise and entered into the Apricot Database.
10.
Maintain and update reports on any maintenance and repairs from start to completion.
11.
Contribute to a positive working environment.
12.
Consistent, reliable, and predictable attendance.
13.
Ensure daily attendance is completed both in Apricot and Documentation for DSS and sent to Warming Center Coordinator.
14.
Report on the needs of clients who may need other community agencies to support client's needs.
15.
Serve as a driver of agency van to pick up inventory supplies or items when needed for Warming Center this includes safely using agency van as per agency policy.
16.
Assist with periodic off-site food drives and other agency initiatives.
17.
Work closely with the Case Management staff, other CCOSU (Catholic Charities of Orange, Sullivan, and Ulster) programs/staff and affiliate agencies.
18.
Assist Regional Supervisor, department staff, and/or other agency personnel as needed to support operations.
19.
Work closely with volunteers, interns, and other personnel as assigned.
20.
Occasional evening and weekend work assignments as designated by the Regional Supervisor.
21.
Other duties as assigned to support the overall program and agency initiatives.
Position Type and Expected Hours of Work:
This is a full-time, non-exempt position.
Days and hours of work are varied.
May be required to report to work when scheduled even if the agency is otherwise closed (such as holidays), to remain on the job beyond the end of a shift until a replacement arrives, if needed to report to work when called in.

Ability to lift, push, pull, stand, bend.
Ability to carry boxes and/or cases of food products over 20 pounds, at times in wintry weather.
A considerable amount of driving time in a company vehicle (van) is expected.
Use of computer to complete reports and provide needed information to the Supervisor.
Familiarity with Ulster County streets/roads/highways, traffic laws, and parking regulations.
Traverse neighborhoods that may require an elevated level of alertness and awareness of surroundings.

Qualifications:
Education and/or
Experience:
High School Graduate or GED required; College preferred candidates with non-traditional educational pathways and commensurate life/ work experience considered.
Experience working in a human service setting (i.
e.
, shelter, child welfare, DSS, nonprofit).
Experience in coordinating programs that involve individuals from diverse populations.
Minimum of (2) two years' experience in Supervison / Leadership Bilingual skills a plus Skills, Licenses, and/or competencies required:
1.
Ability to drive a 12-15' Sprinter/Cargo van or comparable vehicle.
2.
Lift and/or move containers that weigh over 50 lbs.
3.
Valid and clean driver's license.
Must pass Agency Vehicle Usage & Safety Policy requirement.
4.
Effective communication, interpersonal and organizational skills with supervisor, staff, external partners.
5.
Ability to interact with diverse population of the public and work in various communities.
6.
Maintain excellent relationships with internal personnel and external partners.
7.
Team player and supportive of program and community development projects.
Working conditions and physical demands:

Remain in a stationary position at a workstation and use a computer at least 75% of the time.
Operate computer and other office productivity equipment, such as calculator, copier, and printer.

Proficient with Microsoft Office including Word and Excel.
Experience with computer-based client management systems.
Strong methodical, written and oral communication skills, interpersonal skills and judgment, and a demonstrated capability for working cooperatively in a team environment.
