Remote employees may be required to be in the office a couple of days a month Job Overview The Account Coordinator helps maximize the value that Hale Advisors provides to clients by providing administrative support, industry research, and strategic communication management for the client services team.
This person works closely with both clients and internal teams to ensure projects are well organized and carried out effectively and on time.
This individual is flexible, detail-oriented, and highly organized and can perform a range of tasks for internal teams and clients in the life sciences industry.
Responsibilities and Duties:
Client support:
Support the client services team in providing outstanding support, including scheduling client meetings and managing meeting logistics Carry out research for client projects as needed, which may include conducting content audits and stakeholder interviews and doing gap analysis and competitive research for client positioning Maximize the effectiveness of client meetings by creating detailed presentations and pre-read documents and providing clear meeting summaries and notes.
Manage client year-end gifts and other client nurturing as needed Administration:
Research current industry news and trends and provide internal summaries to help inform Hale's client work and strategy Maintain internal databases with client information to ensure records and guidelines are accurate and up to date Manage and maintain documented standard operating procedures (SOPs) at Hale Advisors Coordinate Hale Advisors' presence at industry conferences, including tracking registration, attendance, and managing swag, as well as managing content and preparation for talks and presentations given by Hale leadership Manage and create collateral for business development, including business cards and other materials as needed Support with needs of the client services team and creative team as needed ? Engage with third-party vendors on behalf of clients as needed ? Perform other related duties as assigned
Qualifications:
1-2 years of experience, preferably in agency setting Bachelor's degree, preferably in Marketing or Communications Strong verbal and written communications skills Exceptional ability to manage time and prioritize competing demands Detail-oriented and organized Experience using Microsoft Office Suite, especially Excel and PowerPoint Familiarity with social media channels like Facebook, Twitter, Instagram, Linkedin, and Tiktok, including how to analyze content performance Familiarity with marketing management tools like Hootsuite and project management platforms are a plus Job Type:
